DramaFest — Host Club Guidelines

Guidelines for Host Clubs of DramaFest

General

Entry:

Entry into the DramaFest will be organised by the ITA.

Personnel:

The host club must provide the following:

    • Overall Stage Manager An Overall Stage Manager must appointed by the host club. This person will be familiar with the club, stage, lighting and sound setups of the host theatre. The Overall Stage Manager’s decisions on backstage matters shall be final and binding for all entrant clubs. The Overall Stage Manager will judge the Stage Management component of the Festival.
    • Lighting Technician A Lighting Technician must be appointed by the host club. The Lighting Technician will run the lighting board for all plays. This person will be under the direction of the entrant club’s stage manager or designated representative for individual plays. This person will have prior experience with the lighting board at the host theatre.
    • Sound Technician A Sound Technician must be appointed by the host club. The Sound Technician will be responsible for receiving CDs from entrant clubs and playing them at the appropriate time. This person will be under the direction of the entrant club’s stage manager or designated representative for individual plays. This person will have prior experience with the sound equipment at the host theatre

Staging

Stage Presentation

Stage is to be empty of furniture and fixed flats.  The host club must provide black leg curtains and a black tab curtain across the back of the stage for all entrants. Back tab is required to be able to open in the centre to act as a doorway.

Stage Furniture

Host club must provide the following basic furniture: a medium table, 4 straight chairs, 2 easy chairs, and a sofa.

Stage Plan

The host club must provide a stage plan to the ITA by June 1st. Plan is to include the dimensions of the stage and lighting arrangement. A copy of entrant plans will be forwarded to the host club no later than 2 weeks prior to the event.

Lighting

The host club is responsible for setting up a standard lighting grid. (3×3 or 4×4 evenly spaced across the working stage area). Lighting designs will be provided by clubs at the technical rehearsal.

Special Effects

A list of special effects used in each play will be provided to the host club. All special effects are the responsibility of the entrant club’s stage manager or designated representative.

Technical Rehearsal

The host club must provide a technical rehearsal period for the festival
Each entrant is to be provided 20mins. The Overall Stage Manager, Lighting Technician and Sound Technician must be available for the entire rehearsal period. The blank stage, lighting grid and sound system are to be operational prior to the technical rehearsal period.

Entrant Flow

A space must be provided for the awaiting play to organise their set prior to setting the stage. The host club must provide storage space for the sets of the 3 plays on in any one session. The host club must organise the movement direction of plays; in terms of the direction in which striking sets will be removed from the stage and new sets will enter the stage. This information is to be provided to all clubs at the technical rehearsal
